1840 & Company is seeking a meticulous and independent Accounts Payable Admin to support invoice processing for GFP. This remote, offshore role focuses on ensuring timely and accurate handling of all AP invoices using OnePay and Sage Intacct. From mailbox triage to system reconciliations and vendor communication, you’ll be the silent engine behind a smooth, compliant payables operation.

📋 What You’ll Own

🧾 AP Invoice Processing & Data Verification (60%)
• Monitor and route invoices from the AP inbox into OnePay
• Review and finalize drafts—verifying vendor info, amounts, GL codes
• Reconcile vendor statements and flag discrepancies
• Escalate unresolved issues through appropriate channels
• Ensure compliance with internal documentation and controls

⚙️ System Maintenance & Workflow Accuracy (20%)
• Identify and suggest workflow improvements and automation
• Maintain and clean up vendor records in OnePay and Sage
• Reconcile OnePay and Sage Intacct data, fixing mismatches
• Assist with batch updates and documentation clarity

📞 Vendor & Internal Communication (15%)
• Respond to vendor payment inquiries and account questions
• Liaise with internal club teams to clarify invoice details
• Report recurring issues to improve processes
• Use clear and professional email (and occasional calls)

📚 Meetings, Training, Process Updates (5%)
• Attend workflow check-ins and SOP updates
• Stay current with evolving AP practices
• Support ad hoc tasks as needed


🎯 Must-Have Experience & Skills
• 1–3 years in AP or bookkeeping (vendor-facing preferred)
• Basic to intermediate Excel (sorting, filtering, formulas)
• Experience with AP platforms; OnePay & Sage Intacct preferred
• Proficiency in Teams, Outlook, SharePoint
• Strong attention to detail and time management
• Clear written English communication
• Able to manage repetitive tasks accurately and independently
