You’ll act as the central hub between clients, vendors, and internal teams—ensuring smooth operations, happy customers, and zero dropped balls.
This role blends project coordination, order tracking, and client communication into one fast-paced, detail-loving opportunity. Bonus points if you’ve worked with NetSuite, Cap Worksheets, or commercial interiors projects.
📌 Key Responsibilities
- 🗂️ Process, track, and bill customer orders accurately
- 📊 Prepare product specs, conduct pricing research, and liaise with vendors
- 🧾 Submit new customer/vendor forms for internal approval
- 💬 Assist in developing polished client proposals
- 📦 Verify and manage manufacturer orders
- 🖥️ Use NetSuite (or similar) to oversee order workflows
- 📝 Create and review specs using tools like Project Spec or Cap Worksheets
- 🚚 Coordinate deliveries, installations, and warehouse confirmations
- 📅 Maintain real-time order tracking updates and reports
- 🧾 Handle invoice processing and organize all project documentation
- 🧠 Support internal meetings, cross-team collaboration, and continuous improvement
🧠 What You Bring
✔️ Clear, professional English communication—spoken and written
✔️ Strong interpersonal skills for client and team interaction
✔️ Solid project management chops—organized, proactive, deadline-driven
✔️ Tech-comfortable: NetSuite experience required; MS Office proficiency essential
✔️ Knowledge of Cap Worksheets or similar spec tools (a plus!)
✔️ Prior experience in customer service or order coordination preferred
✔️ Proven ability to multitask across multiple teams and timelines
✔️ Stable internet (20 Mbps minimum) + personal laptop required
