Weโre hiring a Fulfillment & Client Support Coordinator to join a fast-moving, cross-functional team at the heart of a global outsourcing leader. Youโll be the bridge between clients, vendors, and internal departmentsโensuring accurate orders, smooth communication, and on-time delivery. This role sits at the intersection of project management, logistics, and client satisfaction. Bonus points if youโve worked with NetSuite, Cap Worksheets, or product spec tools before.
๐ Key Responsibilities
- ๐๏ธ Process and track customer orders, ensuring accuracy and timely billing
- ๐ Assist with product specs, pricing, and vendor communications
- โ Manage and submit new customer/vendor approval forms
- ๐ฌ Support the development of client proposals and documentation
- ๐ฆ Verify and oversee manufacturer orders and specs
- ๐ฅ๏ธ Use Oracle NetSuite (or similar) to track all fulfillment processes
- ๐ Create and review specs using tools like Cap Worksheets or Project Spec
- ๐ Maintain order tracking systems and generate reports
- ๐ Coordinate with warehouses and clients for delivery/install confirmations
- ๐ฅ Monitor warehouse receipts and documentation
- ๐ฏ Ensure client satisfaction through final approvals and issue resolution
- ๐งพ Process invoices and organize digital project files
- ๐ค Join meetings and contribute to company initiatives
๐ง What You Bring
โ๏ธ Fluent English communication (spoken & written)
โ๏ธ Polished interpersonal skills for internal and client-facing interactions
โ๏ธ Strong organizational + multitasking abilities
โ๏ธ Experience with Oracle NetSuite or similar ERP software
โ๏ธ Familiarity with Cap Worksheets or spec tools
โ๏ธ Proficiency in Microsoft Office (especially Excel, Word, Outlook)
โ๏ธ Experience in fulfillment, customer service, or project coordination
โ๏ธ Tech-forward mindset and fast learning curve
โ๏ธ Reliable personal computer + stable internet (20 Mbps minimum)
