Administrative Assistant

Location: Remote. The individual hired for this position can be based anywhere in the United States.

Salary Range: $60,000 – $68,000 a year

Primary Function

The primary function of the Administrative Assistant is to facilitate the efficient operation of the LGBTQ+ Bar by performing a high-level variety of administrative tasks and to support the various teams as needed to ensure that all aspects of the LGBTQ+ Bar’s objections are accomplished in a cooperative and effective manner.

Accountability

The Administrative Assistant has accountability for the day-to-day tasks and management of the office. They will support the administrative needs of the Executive Director, the Boards of Directors, and other team members as assigned. For the foreseeable future, the position will be half-time focused on Development Department Administrative duties; this may change in future as Bar staffing changes.

All employees of the LGBTQ+ Bar, including the Administrative Assistant, are accountable for assisting the organization in performing the work necessary to meet its ongoing fundraising and other financial goals.

Essential Duties and Responsibilities

Answers and screens phone calls.
Compiling and editing the LGBTQ+ Bar monthly newsletter, with occasional drafting of newsletter pieces.
Maintains filing systems.
Retrieves information as requested from databases, portals, records, email, minutes, and other related documents; prepares written summaries of data when needed.
Responds to and resolves administrative inquiries and questions, including providing documentation to outside firms and consultants as required.
Assists with maintaining the donor database and helping members with access to and updating any account information.
Develops and sends email communications to Bar audiences using Mailchimp.
Providing support to Board members and committees as assigned by the Executive Director.
Prepares agendas and schedules staff meetings.
Maintains a system for recording expenses and reimbursements, and coordinates with the Bar’s accountants for recordkeeping and bill paying.
Will directly support the Development Team with administrative tasks approximately 50% of the time.
Perform other related duties as assigned.

Required Skills/Abilities

Excellent verbal and written communication skills.
Excellent interpersonal and customer service skills.
Proficient in Microsoft Office Suite, Google Suite, and related software.
Excellent organizational skills and attention to detail.
Basic understanding of clerical procedures and systems such as recordkeeping and filing.
Ability to work independently.

Education and Experience

Bachelor’s degree preferred.
Three to five years of experience in an administrative role, or similar length of experience with transferable skills.

Physical Requirements

Prolonged periods working on a computer.
Must be able to lift up to 15 pounds at times.
Occasional travel, including to the Bar’s annual conference each summer, and to other events as needed

The ideal candidate will be a visionary self-starter, capable of working independently as well as collaboratively; they will have excellent legal writing skills as well as overall strong communication and organizational skills; they will have solid LGBTQ+ community competency and a demonstrated commitment to the principles of LGBTQ+ freedom and equality, anti-racism, anti-misogyny, anti-ableism, and the centering of those within marginalized communities; and they will have a strong interest in working on LGBTQ+ legal issues from a policy perspective.
