Document Acquisition Specialist III

Location: Remote, United States, United States

The Document Acquisition Specialist III, Data Normalization, manages proprietary workflow queues containing construction documents, requiring expertise in data sources and advanced project management skills to ensure comprehensive coverage of construction documents. Their primary responsibility is to meticulously review and triage essential data and publish documents into Dodge Construction Network Data Platform.

This is a full-time position and reports directly to the Manager, Plans & Specs.

Preferred Location

  • This is a remote, home-office role and candidates located in the continental United States will be considered
  • For this position, there is a preference to hire in Eastern or Central time zone

Travel Requirements

Expected travel is 5% for this role

Essential Functions

  • Ensure timely, accurate, and comprehensive document publishing for all assigned projects and use these documents to update Dodge’s platform
  • Conduct comprehensive research, collect, verify, and ensure integrity of documents through various means, including phone calls, emails, and digital research
  • Complete formal documentation requests to support data collection processes
  • Maintain accountability for performance metrics, ensuring accurate, punctual, and thorough data collection
  • Handle customer inquiries on projects
  • Assist with training process for new team members
  • Assist with data quality projects to improve workflow and success metrics
  • Maximize document coverage by collecting plans and specifications on as many active projects as possible, as outlined in workflow queues
  • Responsible for the accuracy, completeness, and categorization of incoming documents by independently evaluating the content to determine its relevance and importance, deciding whether to retain or discard, and appropriate assignment to relevant report
  • Monitor multiple workflow queues in proprietary applications to determine document accuracy and completeness or any document redundancy
  • Conduct any needed complex document file type conversion which may require single use or stand-alone conversion applications
  • Determine whether complex groups of documents require sub-classification
  • Navigate complex websites for comprehensive document retrieval
  • Analyze documents for accuracy, timeliness, quality, and completeness
  • Determine whether incoming documents are primary, redundant, or additions to existing content
  • Oversee the execution of data acquisition projects within the assigned territory, ensuring alignment with organizational objectives and timelines

Education Requirement

High School Diploma or GED

Required Experience, Knowledge and Skills

  • 3+ years of experience in the construction industry or equivalent customer service experience
  • 3+ years of outbound call experience
  • Prior online research experience
  • Proven success meeting prior performance metrics or demonstrable ability to meet performance metrics
  • Proficiency in desktop software programs including Microsoft Office suite (i.e. Outlook, Word, Excel, etc.)
  • Ability to learn proprietary software applications within a reasonable timeframe
  • Exceptional attention to detail, written and verbal communication, and reading comprehension skills
  • Ability to work effectively in an independent, remote environment
  • Comfortable working in a fast-paced role/production driven environment
