Job Introduction

Exam Schedulers supporting the Veterans Evaluation Services (VES) administered by Maximus, make an impact everyday by scheduling Compensation and Pension (“C&P”) medical exams, for Veterans and Service Members, with trained VES providers. Schedulers must maintain close communication and build rapport with providers to capture exam availability and build a relationship of trust and confidence. Candidates must possess the desire to assist our wounded veterans and service members with a caring, positive, and patriotic attitude. This position works with veterans when needed to confirm early notice appointments and assists veterans and/or providers with any questions they may have. To prepare you for this role, the VES provides paid, comprehensive training which ensures all new employees provide the highest levels of knowledge and professionalism.

Education and Experience Requirements

Primary Responsibilities:

  • Search veteran cases in assigned regions within OMS
  • Call or email providers to request exam time availability and schedule examinations
  • Coordinate with traveling providers to conduct examinations in high volume areas
  • Notify veterans if providers call to reschedule
  • Add and remove provider block times into OMS when necessary
  • Daily check and schedule cases that are assigned the Pending Follow-Up Schedule Status
  • Always ensure the appropriate scheduler is assigned to the correct case
  • Ask the VA for approval if veteran resides farther out than contractual mileage limitations
  • Communicate with Call Center, Cappers, Veteran Liaisons, Diagnostics, and PRC Departments when needed
  • Cross-train in other areas when employees are not in the office

Additional Duties and Responsibilities:

  • Occasionally attend meetings regarding difficult geographic areas in assigned region
  • Assist other schedulers if volume in assigned region has diminished
  • Promptly address emails and voicemails on a daily basis
  • Must abide by HIPAA regulations by maintaining confidentiality of records and personal information
  • Answer calls from other regions and assist the caller, or direct the calls when necessary

Requirements:

  • High School diploma or GED equivalent required; some College preferred
  • Intermediate knowledge of pertinent medical terminology
  • Advanced verbal and interpersonal skills
  • Advanced written communication skills, to include excellent grammar
  • Advanced reading and comprehension abilities
  • Advanced analytical skills and detail-oriented
  • Advanced multi-tasking skills
  • Advanced organizational and prioritization skills, with strong ability to meet strict deadlines
  • Proficient typing skills
  • Proficient with Microsoft Word, Microsoft Outlook, Adobe Acrobat, general internet research, and beginner knowledge of Microsoft Excel

Home Office Requirements

  • Preferred Windows or Mac (no Chromebooks)
    • OS for Windows – Windows 10 or Windows 11
    • OS for Mac – Big Sur (11.0.1+); Catalina (10.15); Monterey (12.3)
  • Hardwired internet (ethernet) connection
  • Private work area and adequate power source
  • A second monitor is highly recommended for most positions
  • Webcam (used throughout training)
