Job Title: Intake Coordinator/Administrator
No. of Positions: 1
Duration: 1 year (possible extension)
Start Date: end of September
Shift: flexible, 8:30a-5p is ideal but can start between 8a-9a
Hours: 37.5 hours per week
Location: Toronto, Canada (100% virtual)
Reporting to the Operational Manager, you are responsible for ensuring efficient absence management operations by providing administrative support to the members of the team and supporting project work.
Essential Functions:
Main client contact sits in US on Eastern time zone, mornings will be dedicated to that client
Main point of contact for any general inquiries (both English and French) on both telephony and emails. Redirect to appropriate CM if a case is already open or connect with the employee accordingly to discuss their requests and redirect as required.
Liaise with CM team and client for admin support (assist with letter creation, follow up for medical forms, follow up for RTW confirmation, etc).
Relay and coordinate information to and among appropriate client team members and internal team members to support any and all employer related functions and responsibilities (i.e. initiating leaves, redirecting to appropriate case manager, actioning returns to work on behalf of a case manager) required throughout the disability period to ensure deliverables are met on a timely basis.
There is a payment process component that will require strong attention to detail skills and ability to pull data into excel sheets to ensure pay is captured correctly for the client.
Review and respond to email inquiries related to disability (e.g. STD/LTD claim status, STD benefit payments, etc.) via either the internal portal or the client’s external email box. Ensure response are provided within 1 business days.
Research and support resolution of escalated inquiries, engaging appropriate resources, as needed.
Post the weekly ReedGroup subscription report for HR view/access to the client portal.
Manage the disability benefit payment process, including:
o Creation and on-going completion of payroll file templates for employees with approved STD claims throughout the disability period
o Gradual RTW calculations
o Submission of weekly and bi-weekly payroll files to Payroll
o Submission of off-cycle payment requests, as needed, to Payroll
o Calculating pay and benefit entitlements
Ensure accurate coding/RTW of employee in Workday in coordination with the client’s network (as required).
Monitor denied/closed claims and employment status (e.g. RTW, termination) and ensure appropriate case manager is aware to ensure appropriate steps are taken and accurate coding in Workday.
Support the transition of STD to LTD, including:
o Complete and submit the LTD Plan Sponsor Form to the LTD vendor
o Ensure LTD leave code is updated to the client’s portal
o Completion of LTD Rehab Earnings Statement for employees returning from LTD
Support project work related to STD and/or LTD (e.g. leave/Workday Code audit)
Qualifications:
Bilingual, must be fluent in French (ability to speak, read and write)
Strong level of oral and written communication skills
