What we need…
The Onsite Retrieval Coordinator is responsible for scheduled health (Past Dues, Underschedules, Overschedules, and Rejected charts). This role will help facilitate the retrieval of charts by working with providers offices and the Onsite Leadership Team. The Coordinator will provide the highest quality customer service to CIOX Health internal and external customers and ensure all responses follow approved company and HIPAA guidelines.
Responsibilities
- Answer and handle a high volume of inbound and outbound calls with provider sites
- Track CRS attendance (No Call No Show/Call Outs)
- Handle rescheduling of Onsite appointments with providers
- Perform reminder calls for ARCH appointments
- Send appointment reminders to CRS
- Assist with additional work duties or responsibilities as evident or required
- Must be able to work with moderate supervision responding to changing priorities and role needs
- Maintain working knowledge of Company software
- Adhere to the Company’s Code of Conduct and policies and maintain HIPAA compliance
- Communicate any CRS or site issues and challenges with CIOX Health Onsite Leadership Team
- Maintain emails and correspondence within a timely manner
- Responsible to meet company set performance goals
- Must be a team player and willing to adapt to change
Qualifications
- High school diploma or equivalent required
- 2+ years call center experience preferred
- Preferred experience of Provider office environment
- Demonstrates ability to work effectively and collaboratively in a matrixed, cross-departmental environment
- Telephone skills including the ability to speak clearly with a pleasant and professional tone
- Excellent detail-orientation and accuracy in high volume work environment
- Ability to manage efficient processes
- Highly proficient at troubleshooting and problem-solving complex issues
- Basic computer skills including Windows based applications (Word, PowerPoint, Excel and Outlook) and the ability to perform other basic computer functions
- Strong verbal and written communication skills in the English language
- Proven ability to prioritize, multi-task and work in fast paced environment
To ensure the safety of patients and staff, many of our clients require post-offer health screenings and proof and/or completion of various vaccinations such as the flu shot, Tdap, COVID-19, etc. Any requests to be exempted from these requirements will be reviewed by Ciox Human Resources and determined on a case-by-case basis.
