What You’ll Do

  • Enter, reconcile, and maintain client/order information in internal databases, including new assignments, updates, status notifications, and order closure.
  • Manage assigned orders to meet service level agreements, including prioritizing rush work.
  • Monitor orders outside SLA and coordinate with vendors for updates and resolution.
  • Review customer-submitted court documents for accuracy prior to filing, service of process, or delivery.
  • Communicate special instructions and additional customer requests to vendors clearly and promptly.
  • Maintain proactive communication with customers regarding issues, status updates, or new instructions.
  • Track jobs across multiple systems to ensure timely fulfillment.
  • Develop and apply working knowledge of filing and service of process requirements in covered jurisdictions.
  • Respond to customer inquiries and escalations, partnering with relationship owners when needed.
  • Address vendor questions and issues tied to assigned orders.
  • Document customer and vendor interactions with accurate, concise notes.
  • Close orders and invoice completed requests.

What You Need

  • Legal/litigation support experience, specifically preparing legal documents for filing and service of process.
  • Familiarity with California Superior Court filing requirements and procedures.
  • 2+ years of service of process dispatch/fulfillment experience.
  • Experience fulfilling serves and eFiling with LegalConnect, GreenFiling, or similar portals and service of process software.
  • Experience with legal CMS tools supporting service of process, court filings/copy jobs, and eFilings.
  • Experience coordinating with legal support vendors, affiliates, and process servers.
  • Strong communication skills and comfort working with all levels of an organization.
  • Ability to move quickly through detailed workflows while staying organized.
  • CALSPro CCPS or other SOP designation (active/maintained).
